WHAT TO DO FOR....

A list of services most often requested of the WMC is provided below. The WMC is available to answer your questions for other areas involving the Physical Plant and can be reached at (407) 823-5223:

A. Activities on the Green: All activities held on the green must be coordinated through the Student Activities Office by calling (407) 823-6471.

B. Air Conditioning Temperature Control: The temperature in many of the University’s larger buildings are automatically controlled by a remote computerized monitoring system. Contact the WMC to report room temperatures that are determined to be uncomfortable. 

C. Asbestos Removal and Disposal: Asbestos removal is managed through the office of Environmental Health and Safety. 

D. Bathroom Dispensers: Contact the WMC for dispensers that need to be serviced or repaired.

E. Building Managers: A building manager has been appointed for each university building, complex or center for the purpose of coordinating security, safety, energy management and space utilization matters. A list of all building managers are posted on the website, www.pp.ucf.edu

F. Campus Activities or Functions: For campus activities or functions requiring Physical Plant’s support such as electrical service, a work order must be submitted a minimum of 10 working days prior to the event date. If more than 75 people are in attendance, custodial support is required. On weekends or after hours, the department requesting the support will be required to pay the overtime needed for Physical Plant to support the activity or function. 

G. Carpet Replacement: Replacement of carpet takes place on a scheduled basis through the planned maintenance program. The cost for carpet replacement not scheduled is considered charged to the requesting unit. Check with student activities at (407) 823-6471 to determine if a hazardous event form is required.

H. Concerns: Concerns can be registered at the WMC. If a complaint is about a specific job, give the WMC the work order number, if available. If a complaint is about other matters, please have as many details as possible available at the time of the call. All complaints are given high priority so they can be resolved as soon as possible. Concerns can also be registered on our website at www.pp.ucf.edu.

I. Dead Animals: Dead animals should be reported to the WMC for disposal. Injured animals should be reported to the UCF Police at (407) 823-5555.

J. Digging: The Facilities Improvement unit in Building 16A must be notified, in writing, at least two weeks before digging on campus can be scheduled. This is necessary for notification to departments that may be affected by this activity. For safety reasons, no digging can begin without review and approval by the Facilities Improvement unit.  A standard Physical Plant Dig Permit must be completed before any excavation is done on campus. The purpose of the dig permit is to identify and minimize damage to existing underground utilities. 

K. Dumpsters and Refuse Collection:

1. Dumpster Locations: Dumpsters may not be moved or altered without approval from the Associate Director of Operational Services, Physical Plant.

2. Additional Pickups: Requests for additional dumpster pickups or repairs are to be directed to the Senior Superintendent for Grounds at (407) 823-0075.

3. Refuse Collection (Extra): The Grounds unit monitors and manages the contract for refuse collection. Refuse is collected on a scheduled basis. Costs for non-Educational & General (E&G) organizations’ refuse collection are charged to the requesting organization. Extra collections can be requested through the WMC.

4. Refuse Collection (Litter in Area): Customers who pay for refuse collection are responsible for the areas around their dumpsters. Large objects left outside dumpsters will not be removed unless special arrangements for removal are made through the WMC.

L. Elevators: Requests for elevator repair or assistance are processed through the WMC. Elevator service is provided by an elevator service contractor. 

M. Equipment Loans: Physical Plant is not in the practice of loaning its equipment to other departments on campus. In critical situations or special need, the Physical Plant may assist a department. Contact the Director’s Office for special needs and approval.

N. Fire Alarm: Physical Plant has the responsibility for maintaining the fire alarms on campus. Any problems with the fire alarms between the hours of 7:00 a.m. to 4:30 p.m. should be reported to the Utility Plant at (407) 823-2381 and between the hours of 4:31 p.m. to 6:59 a.m. should be reported to the Police Department at (407) 823-5555. 

O. Fire Equipment: Environmental Health and Safety is responsible for the hoses and extinguishers housed in the cabinets and for the inspection and certification program. Contact their office for fire extinguisher problems at (407) 823-6300.

P. Furniture:

1. Furniture Moves: Purchasing has a contract with a moving company to perform moving of departments’ equipment and furniture. If this service is needed, contact the Purchasing Department at (407) 823-2661.

2. Furniture Repair: Fixed auditorium seating and classroom seating in E&G buildings are maintained by the Physical Plant. The Physical Plant does not repair office furniture. In non-E&G buildings, repairs are handled by an outside contractor and supervised by the Physical Plant staff. These repairs are done at the department’s expense.

3. Furniture Requests for Classrooms and Auditoriums: Tables, chairs, and table top lecterns for classrooms and auditoriums can be requested through our Building Services unit by calling (407) 823-2386, or (407) 823-2431. These items are to be utilized for academic functions only.

4. Setups and Equipment: All equipment, chairs, and tables needed for a campus event can be scheduled and delivered by the Arena staff. Their number is (407) 823-3070.

5. Surplus Property: All University property no longer required by any department is processed for surplus via the on-line system www.finacctg.ucf.edu/property/p1proper.htm. Surplus Property will schedule pickups when approval has been authorized and approved for surplusing. Contact our Surplus Property unit at (407) 823-5084. 

Q. Graffiti: Report graffiti on or in any building or on campus grounds to the WMC. Graffiti removal is given high priority.

R. Insect, Rodent, and Pest Control: Requests for indoor and outdoor insect, rodent, and pest control assistance should be directed to the WMC. The University maintains an insect control service contract for the interior of buildings. The WMC website is www.pp.ucf.edu. 

S. Keys and Locks:

1. Duplicate Keys: For security purposes, requests for duplicate keys may be made only by the dean, department head, or chair by submitting a Key Request Form (PP Form 630, see Appendix C), and forwarding it to the WMC for processing. Please call (407) 823-2471 to obtain a key request form. Keys unclaimed within 30 days from notification will be recycled and a service charge will be assessed to the requesting department. Under no circumstances may E&G keys be duplicated by anyone other than the Physical Plant’s Locksmith Shop. Physical Plant is responsible for maintaining and replacing all fixed locks in E&G buildings. There is no charge for replacement of defective locks. 

2. New Locks: New locks installed as a part of a renovation are charged to that project. Under no circumstances should an E&G lock be changed by anyone other than a Physical Plant locksmith. 

3. Re-keying: Requests for re-keying a lock or a series of locks will be made only by the dean, department head, or chair in writing. The request should specify the room(s) to be re-keyed and to whom the new keys will be delivered. Re-keying is a chargeable item.

T. Light Bulbs and Fixtures: Physical Plant’s policy is to replace light bulbs when they have burned out. When making a request for light bulbs, call the WMC. Altering or upgrading a light fixture is a chargeable item and an A&I Request form (PP Form 610), must be completed, and submitted to the WMC for this type of work to be done.

U. Non-Current Record Storage: Central Receiving picks up and stores records that are no longer current but must be kept for audit purposes. Call (407) 823-2398 to schedule pick up. Due to limited storage capacity departments must identify an equal volume of records for destruction when new records are being stored. Call (407) 823-2555 for liable requirements and destruction authorization.

V. Painting: Painting of classrooms and offices is done on a scheduled basis through our planned maintenance program. Requests for painting that is not scheduled are charged to the requesting unit.

W. Zone Maintenance: This is a program where a maintenance mechanic has been assigned specific buildings to perform routine maintenance tasks. These tasks include, but are not limited to, replacing light tubes, carpet and baseboard repair, repair of office furniture, hanging pictures or plaques, replacing broken outlets or switch covers, tighten loose classroom furniture, and associated other task that are simple in nature and takes less than 30 minutes to perform. The zone maintenance mechanic is to check daily with each building manager in the zone to determine the work to be done. Please let your building manager know if you need assistance from the zone maintenance mechanic. 

X. Public Address, System, and Sound Systems: The Physical Plant does not provide public address systems, sound systems, microphones, or speakers. This equipment is available through Instructional Resources at (407) 823-2571.

Y. Recycling: The University’s recycling program is being managed by the Physical Plant. The coordinator for the program is the Senior Superintendent for Grounds. If you have any questions or suggestions, please call them at (407) 823-0075.

Z. Tree Removal: Trees are a valued feature on campus and may not be removed except under the rules established by the University Master Planning Committee (UMPC). Report dead or damaged trees to the WMC.

AA. Utility Outages:

1. Utility Outages (Scheduled): When maintenance or construction on utility systems requires service to be interrupted, the WMC will notify all buildings affected through the Building Manager, no later than 10 days before the outage. If the WMC does not hear of any concerns from the Building Manager, the WMC will schedule the work and notify the Building Manager.

2. Utility Outages (Unscheduled): Please report any unscheduled water, electricity, or gas outages to the WMC at (407) 823-5223 when the outage is discovered. The WMC will notify the affected areas with an email.

BB. Telecommunications: Requests for changes or additions of telecommunication services are initiated through the Telecommunications Department. Physical Plant, while accomplishing an A&I or a Work Order, will provide the in-wall components for telecommunications lines. However, the requester is responsible for arranging telecommunication services by calling (407) 823-5100.

CC. Computer Services: Requests for computer services are the responsibility of the requester and may be arranged by calling the Computer Services Department at (407) 823-2711.
