Surplus Property Management

Overview

The Surplus property Program has gone through quite a transition.  In the past, surplus property was collected and stored until March of each year, then an auction was held to sell the property.  The problem with this was: it cost well over $100,000 each year for salaries and warehouse space; due to the small staff size, backlogs of 400 - 500 items often built up and it took a long time to get surplus items removed from the departments; auctions only generated a few thousand dollars in income.  Effective July 1, 1999 a new process was implemented.  A vendor was selected to remove surplus property on a weekly basis.  Now, from the time an item is approved for surplus status, to the time the item is removed is about 10 days.  We were able to reduced our storage requirements from 15,000 Sq. Ft. to just 1,000 Sq. Ft.; and transferred a 1.5 ton truck to another department.  The net savings to the University is in the neighborhood of $50,000 per year.

For a sneak peak at items that will appear on next weeks Current Listing, click on Link to Database and then click on Advanced Query.  

On line one, leave the field name Input Date.  If you want to want to look at items being surplussed over several days, change the operator to Range and enter the dates in the Value field (e.g.. 4/16/07-4/17/07 would select items that were submitted for surplus status on 4/16 and 4/17 which would appear on the Current Listing the week of 4/23 [you can see the items several days early].  If you only wish to see items submitted for surplus status on a specific day, select Is for the operator field and enter the date in the value field (4/17/06 date format).  Click on Run Query and you're there.
