Overview

Central Receiving receives, processes, stages and delivers almost all property for UCF.  Property is defined as any item purchased by the University with a value of $1,000 or more and an expected life of one year or greater.  Over the past seven years we have averaged 89,141 packages per year.  Central Receiving  picks up and stores non current records that are no longer needed by a department but not yet approved for destruction. Central Receiving also provides courtesy storage of paper for the Copy Center and Computer Services as well as courtesy storage for diploma covers, some Finance and Accounting Forms, etc.  Receiving's address is:

A typical Receiving cycle starts at 9:30 A.M. with a UPS delivery that averages about 200 packages per day.  The packages are offloaded into three bins; one for next day air, one for packages with no purchase orders that are normally classified as personal or non property (such as sample text books or items worth less than $1,000), and one for items from vendors that have purchase order numbers or packing slips.  Over the next couple of hours every single package is checked to ensure which department it goes to and complete the People Soft receiving transactions so the departments can pay for the items.  The next day airs are sent out for delivery by 10:30 A.M. and the remainder are staged by geographic area.  By 1 P.M. two of the three geographical area packages are loaded onto golf carts and sent out for delivery.  The third geographical area is for buildings that require delivery between 2:30 - 3:30 P.M..  Most of the time the same delivery person that took the next day air run also makes the 2:30 run.  In the mean time additional trucking companies and vendors are arriving with an additional 150 packages or equipment items for the University.  These go through the same process and are delivered the same afternoon if possible or first thing the next morning, between 8:00 - 9:30 A.M.. 

As you can see this is a continuous cycle.  When our drivers are out making deliveries they also pick up outdated records for storage and the occasional package that is being returned by the department, to the sender.  In the past we also tried to help out wherever we could, receiving furniture or helping with distribution of schedules or catalogs.  The University has grown in both population and size but our Receiving Section has the same staff of five that it has had for many years.  As a result, we are no longer able to assist moving/delivering furniture but provisions have been made by the Purchasing Office to help the departments.  If you need furniture moved or have a "labor pool" type requirement, blanket purchase orders have been established with local moving companies to provide assistance.  You need to plan in advance and make your account number and requirements known to Purchasing, who will get you the help you need.  Departments that have items in courtesy storage are responsible for maintaining an inventory of their items and advanced notice is required if they plan to pick up items in courtesy storage or if they need items delivered (these deliveries must be factored into the 8:00 - 9:30 AM. delivery schedule).

Receiving Initiatives

 

In Central Receiving we're taking a long, hard look at UCF's growth and how we are going to be able to best serve the Universities' needs in the future.  Our campus is growing into a beautiful progression of expanding radius circles that allows students and faculty to get from one place to another quickly and easily.  The challenge this presents for the logistics folks is getting in and out of these small, compact areas to make deliveries of supplies and equipment to the departments.  We can't dig tunnels and service the campus from an underground complex like Disney does (the water table is much too high and we're too far into the development of the campus).  Our solution is going to be small delivery vehicles like the golf carts that have been in use for years but with greater hauling capacity and an increase in the number of delivery routes and drivers.  Over the next year we'll be designing these shorter routes to accommodate more items going into each area and identifying the next generation delivery vehicle.  Rick Smith at ext. 2398 is our Receiving Manager and he'll be happy to answer any question you may have about our services or operations.
